Privacy Policy - the basics

Having said that, a privacy policy is a statement that discloses some or all of the ways a website collects, uses, discloses, processes, and manages the data of its visitors and customers. It usually also includes a statement regarding the website’s commitment to protecting its visitors’ or customers’ privacy, and an explanation about the different mechanisms the website is implementing in order to protect privacy.

Different jurisdictions have different legal obligations of what must be included in a Privacy Policy. You are responsible to make sure you are following the relevant legislation to your activities and location.

What to include in the Privacy Policy

Generally speaking, a Privacy Policy often addresses these types of issues: the types of information the website is collecting and the manner in which it collects the data; an explanation about why is the website collecting these types of information; what are the website’s practices on sharing the information with third parties; ways in which your visitors and customers can exercise their rights according to the relevant privacy legislation; the specific practices regarding minors’ data collection; and much, much more.

A comprehensive Privacy Policy typically addresses the following key elements:

  • Types of Information Collected: What personal and non-personal data is collected from users (e.g., name, email, IP address, location data), and whether it’s collected directly from users or automatically through cookies or other technologies.

  • Purpose of Data Collection: Why the website collects this information—such as for booking management, customer communication, service improvement, legal compliance, or marketing purposes.

  • Data Sharing Practices: Whether and under what circumstances the information is shared with third parties (e.g., service providers, analytics tools, legal authorities), including a list of third-party platforms if applicable.

  • User Rights and Choices: How users can access, update, delete, or restrict the use of their personal data in accordance with applicable privacy laws (such as GDPR or local regulations).

  • Minors' Data Protection: The site's policies regarding the collection of information from children, including any age restrictions and parental consent requirements.

  • Data Retention and Security: How long data is stored, and what measures are in place to protect it from unauthorized access or breaches.

  • Use of Cookies and Tracking Technologies: What tracking tools are used, how they function, and how users can manage or disable them.

  • Policy Updates and Contact Information: How users will be informed of changes to the policy and how to contact the business for privacy-related inquiries.
